EasyAImail FAQ (English)

A Account & Sign-up

A1 How do I sign up? What sign-in options are there?

Sign up with your email address. The interface comes in Simplified Chinese, English, and Spanish — switch any time from the top right.

A2 Do I get credits when I sign up?

Yes. You get 100 credits as soon as your registration completes, valid for 7 days. They expire automatically after that, so use them early.

A3 I forgot my password.

On the sign-in page, click Forgot Password, enter your registered email to get a verification code, and set a new password. If you no longer have access to that mailbox, reach us through Settings → Feedback or our support email.

A4 Can one email address register more than one account? How many teams can I join?

One address, one account. A single account can belong to several teams (capped by your plan's seats), and you can switch your active team any time on the Teams page.

A5 Can I change my username, display name, or avatar?

Yes — under Settings → Account Settings. Password changes and the personalized-recommendations toggle live on the same page.

B Credits & Daily Tasks

B1 What are credits, and what do they pay for?

Credits are how everything is billed — pay for what you actually use. Three things draw on them today:

AI email generation: 10 credits per email
Sending an email: 2 credits per email
Redeeming a premium template: 5 credits each

B2 Where do credits come from?

Three places.

Sign-up bonus. 100 credits land automatically once you register — nothing to claim.

Daily tasks. The Task Center has four tasks. Each can be completed once a day, worth 30 credits each time.

Buying a plan. Credits come bundled with the order. Amounts are on the Pricing page.

Credits earned from tasks and bonuses are valid for 7 days.

B3 What tasks are in the Task Center?

Task	Where	How it's done
Daily Check-in	Task Center → Check In Now	One tap
Invite Friends	Task Center → Invite Now	Copy your referral link and send it out; it counts once your friend registers
Review Template	Task Center → Review Now	Leave a review on a template detail page
Social Media Share	Task Center → Share Now	Follow the prompt to share the site; credits are granted automatically

Each of the four can be done once a day. The top of the page shows today's progress (x/4 complete), and the table below lists every credit entry with its completion time and expiry date.

B4 Do credits expire?

Yes. Task and bonus credits are valid for 7 days from the day they arrive. Credits bundled with a paid plan follow that order's own validity period.

When your credits are close to expiring, we email your registered address so you don't miss them. The Credits History page also shows the expiry date on every entry. Claim and buy at the pace you actually use them rather than stockpiling.

B5 How do I check my balance and see where credits went?

Open Credits History in the left menu. The top shows what's left. Below that, a usage trend and a breakdown chart — by hour or by day. The list underneath logs each entry: time, type (AI generation / sending / template redemption), credits used, and the related email or template ID. Team members also get User and Team columns.

B6 What happens when I run out?

A Not enough credits dialog appears with two ways out: the Task Center (earn them free) or Buy credits (pick a plan).

B7 Are plan credits different from task credits?

Not in how they're spent. Both are deducted from whatever balance is still valid and unused. The only difference is where they came from and how long they last — task and bonus credits expire sooner; plan credits follow the order.

B8 Can credits be transferred or refunded?

No transfers, no cash-out. Failed payments are refunded automatically. For cases like a duplicate charge, contact support and we'll look into it.

C Free Plan vs. Paid Plans

C1 Can I use the free plan indefinitely? What are the limits?

Yes — the free Basic Trial plan doesn't expire.

The limits sit in three places: your monthly quota for generating and sending emails, caps on team and address-book size, and whether paid-only capabilities like custom SMTP sending and email external links are unlocked. Check the Pricing page for the actual numbers — we adjust those limits as we go, and pinning them into FAQ copy guarantees this page goes stale.

C2 What do the paid plans add?

The headline point first: the paid plans put no cap on generating or sending. As long as you have credits, AI generation and email sending are unlimited.

Beyond that, they unlock:

Custom SMTP sending — send from your own mailbox, so recipients see your address
No "Generated by EasyAImail" badge or QR code in the email footer
Team members share your plan, drawing on the same quota and benefits
Email external link button
Email external link products
Credits bundled with the plan

Per-tier details are on the Pricing page.

C3 Advanced or Professional Custom — which one?

The feature set is the same. The difference is the caps and how many credits come bundled. A smaller team with steady volume fits Advanced; a bigger team or heavy volume calls for Professional Custom. See the Pricing page for the side-by-side.

C4 Monthly or yearly?

Identical benefits. Only the billing cycle and the bundled credits differ. Yearly works out cheaper.

C5 If I upgrade, what happens to my remaining time and credits?

You can move up a tier at any time. You get the new plan's benefits, and the bundled credits and validity are recalculated from the new order.

Downgrading isn't advisable — once your usage exceeds the new plan's caps, some functionality gets restricted.

C6 What happens when my plan expires? Is my data deleted?

Your account drops back to free-plan benefits. Your emails, templates, address book, and team members all stay. You just can't add beyond the free plan's caps (once your contacts hit the limit, for example, no more can be added). Everything returns the moment you renew.

D AI Generation & Conversations

D1 What does this tool actually do?

EasyAImail is a conversation-based AI generator for HTML emails. Describe what you want — even in a few scattered sentences — and the AI fills in the content, writes the subject line, and picks a layout that fits. What comes out is a clean, well-set HTML email that renders properly across mail clients. No code, no manual layout work, and anything you don't like you just say so in the conversation.

D2 How do I write my first email?

Click New Conversation in the left menu
Describe what you need in plain language — who it's for, the occasion, what you want to say
The AI produces a draft and a layout
Keep chatting to refine it ("make the subject more formal", "drop the second paragraph", "soften the tone")
Once you're happy, add recipients and send — or export the HTML

D3 How long does it take, and what does it cost?

A first draft usually lands within tens of seconds. Each generation costs 10 credits per email.

D4 Which languages can I generate in?

Simplified Chinese, English, and Spanish.

D5 Can I upload my own material?

Not currently — you can't upload your own images or files.

There's one exception: on a paid plan, when you use a template that supports external link products, you can upload product images, and the AI writes the product details into the email.

D6 After it's generated, can I still change things?

Yes, in the same conversation. The usual edits are the subject line, the tone, fixing mistakes, adjusting a specific passage — and you can swap in a different template entirely. Every revision stays in the conversation, so you can compare as you go.

D7 Can I use the output commercially? Is it accurate?

The emails are yours to use. That said, AI-generated content can be off or flat-out wrong. Check the facts, amounts, dates, and recipients yourself before sending. We provide the tool; we don't warrant the accuracy or legality of what it generates — see the Disclaimer for the full wording.

E Templates

E1 What's in the Template Center?

Ten categories, organised by occasion:

Business & Workplace · Life Moments · Thank You & Appreciation · Invitations & Gatherings · Holidays & Festivals · Team & Internal · Small Business & Freelance · Brand Marketing · Newsletters & Sharing · General Templates

You can filter by category, tag, and colour, bookmark templates, and preview sample emails.

The library keeps growing — we add to whichever categories get used most.

E2 Do premium templates cost extra?

There are no premium templates in the library yet. Everything available is free to use.

Premium templates are coming. When they arrive, redeeming one will cost 5 credits each.

E3 Can I publish my own designs as templates?

Not yet. Every template in the library is AI-assisted, which is how we keep rendering consistent across mail clients. We'll revisit opening this up later.

E4 Why won't some templates open, or why do I get a language warning?

Some templates are built for one specific language. The message tells you which — switch your interface language to match and it'll open.

E5 How do I build an email on top of a template quickly?

Two ways.

① On any template detail page, click Create with AI using this template.

② In My Emails, find one you wrote before and hit the same button — the content carries over onto a new template.

E6 Where do I find my bookmarked templates?

Open Templates from the left menu and switch to the My Favorites tab at the top of the page (sign-in required).

You can also click your avatar in the top right to open the User Center, then pick My Favorite Templates from the menu.

F Sending Emails

F1 What are my options for sending a generated email?

Three.

Sending on your behalf via EasyAImail. The platform sends it directly. Nothing to configure.

Custom SMTP sending. Enter your own mailbox's SMTP details and send as yourself (paid plans).

Send it yourself. Export the HTML and paste it into your own mail client.

A word about that third option: mail providers differ a lot in security policy and rendering engine, and sending it yourself often doesn't come out the way you expect — the styling can break, it can land in spam, or it can be rejected outright. If you want it reliable, use platform sending, or upgrade and configure custom SMTP.

F2 What's the difference between platform sending and custom SMTP sending?

	Via EasyAImail	Custom SMTP
Sender the recipient sees	The system sending address	Your own mailbox
Setup needed	None	Host, port, username, password
Plan required	Works on the free plan	Paid plans only
Cost	`2` credits per email	`2` credits per email

F3 After sending, will I see the email in my own mailbox?

Yes. Whether you use platform sending or custom SMTP, a copy is sent to your sending address as a carbon copy. You'll find it in your own inbox — and the recipient addresses for that send are visible on it.

F4 How do I configure custom SMTP?

Add a sender configuration with these fields: SMTP host, SMTP port, SMTP username, SMTP password, and verification type (None / TLS / SSL).

One thing trips almost everyone up: most providers won't accept your login password. You need to generate an authorization code or an app-specific password first.

👉 Step-by-step instructions for each provider are in SMTP Configuration Guide for Major Email Platforms. When you add a configuration, we first send a test email to your registered address — the configuration only takes effect once that test succeeds.

F5 Do sender addresses need to be verified?

Yes.

By default your sender address is the one you registered with — registration already puts you through mandatory email verification.

You can add other sender addresses, but each one has to go through the same verification code check before it can send. That's an anti-abuse measure.

F6 Can SMTP configurations be shared with my team?

Yes. Turn on team sharing and optionally set one as the default, and team members can use it directly (seats depend on your plan).

F7 What happens if I don't configure SMTP?

The platform sends on your behalf, and a copy goes to your sending address.

F8 I want to send from my own mail client (Gmail, Outlook, QQ Mail, etc.). How?

We've put together illustrated guides for seven major clients — Gmail, Outlook (web and desktop), QQ Mail, NetEase Mail, Foxmail, Apple Mail, and Yahoo — in all three languages.

Three steps: copy the generated HTML, turn on source/HTML mode in your mail client, paste, and send.

Worth repeating: sending it yourself depends on each provider's security policy, and the result won't necessarily match platform sending.

G Team Collaboration

G1 What can a team do?

Pull members into one team and you can share the plan's benefits, your bookmarked templates, the address book, and SMTP configurations — and manage email together. It suits companies, organisations, and small groups alike.

G2 How do I invite people? How are seats counted?

On the Teams page, click New Member, copy the invite link, and send it over. Whoever opens it signs in (or signs up) and joins.

Seat limits depend on your plan; the free plan doesn't give you many. See the Pricing page for numbers.

G3 How many teams can I create?

Also plan-dependent — check the Pricing page.

You can switch your active team any time on the Teams page.

G4 What's the difference between an admin and a regular member?

Admins can edit team information, invite members, remove members, restore members who left, and disband the team. Regular members can leave the team and use shared resources, but can't manage people.

G5 I left my team by accident. Can I get back in?

Yes — ask your team admin to restore you from the Left Members list. Once restored you can switch back to that team. Until then, you can't rejoin on your own.

G6 What happens to shared resources if a team is disbanded or someone leaves?

What the team shares is the admin's plan benefits. A member who leaves loses access to shared resources, but their own personal data — their emails, their templates — is untouched.

H Address Book & Reply Addresses

H1 How do I import a batch of recipients at once?

Two ways.

AI Recognition. Paste in unstructured text — chat logs, business cards, a contact list — click Recognize, and the email addresses and contact details get pulled out automatically.

Precise Add. Enter email, name, real name, group, and notes one contact at a time.

H2 Is there a limit on the address book?

Yes — both groups and contacts are capped, and the caps differ by tier. See the Pricing page.

H3 How do I pick recipients when sending?

Two ways: click Add Recipients to type them in or paste and auto-recognize, or click Choose from Address Book to bulk-import with select-all / deselect-all. You can also add or update contacts to the address book directly.

H4 What are reply email addresses for?

They're where replies actually land when a recipient writes back.

You can add several — see the Pricing page for the cap — set one as the default, and turn on team sharing. Each one has to pass email verification so we know it's yours.

H5 I don't have recipient addresses yet. Can I still write the email?

Yes. Generate the email and settle on a template in the conversation first, then add recipients whenever you're ready to send.

I Email External Links & Products

I1 What's the email external link button?

A clickable button embedded in the email body that takes recipients to a destination — your own website, a social media page, an event sign-up page, and so on. You supply the button text (up to 20 characters) and the URL (HTTPS or MAILTO only).

I2 What are email external link products?

A product card embedded in the email, made up of a product name (up to 30 characters), product image, product description (up to 200 characters), and product link (HTTPS only).

I3 Why can't I use my link right after submitting it?

To keep recipients from being spammed, and to stay on the right side of compliance rules, links and product details go through an AI security review. There are four statuses: Pending / Under Manual Review / Approved / Rejected. Only approved items can be used in emails. A rejection comes with an explanation of the review basis, so you can revise and resubmit.

J Compliance, Security & Privacy

J1 Is my email content and mailbox password safe?

Custom SMTP passwords and similar credentials are stored encrypted and used only to send on your behalf
Payments run over encrypted channels with risk controls; we store no sensitive card data
Full details on collection, use, and storage are in the Privacy Policy

J2 Can recipients unsubscribe from my emails?

No, not currently.

The emails don't carry an unsubscribe link. However, recommendation emails that the platform sends to registered users (such as weekly template recommendations and new-article notices) do carry an unsubscribe link, and you can unsubscribe at any time.

One related note: if you send through your own SMTP, the complaint/report entry won't appear in your emails either.

J3 How do I report spam someone sent through EasyAImail?

Go to Complaints & Reports, choose a type (Spam / Fraud / Identity Theft / False Information / Illegal Content / Infringing Content / Privacy Violation / Other), fill in the recipient address and what happened, optionally attach images, and submit an email verification code.

Reports are checked by AI first, then confirmed by a human. Once confirmed, we take action against whoever generated the reported email.

J4 What content is allowed?

The platform is a tool provider and a neutral channel for moving information; we don't create content. Using the service to send spam, fraud, illegal content, infringing content, or privacy-violating content is prohibited outright. Such content gets rejected in review or blocked from sending, and accounts can be penalised.

J5 Can I remove the badge and QR code from the email footer?

Yes — on any paid plan, newly created emails no longer carry the "Generated by EasyAImail" badge or QR code.

Emails already sent can't be changed.

J6 How long are email images and assets kept?

Uploaded images and attachments are stored alongside the email for editing and preview. Retention periods and deletion options are covered in the Privacy Policy. Don't upload images containing sensitive personal information.

K Technical & Compatibility

K1 Which devices and browsers are supported? Are there extensions?

Web — open it in a browser; it adapts to desktop, tablet, and phone
Browser extension — available now for Microsoft Edge and Firefox. The Chrome release is being prepared.

K2 Will the emails display properly in major mailboxes?

Yes. Generated emails carry inline styles as a baseline and use styles in <head> for enhancement, so they render correctly in mainstream mail clients.

Rendering engines differ between providers, so minor variations can occur.

K3 Is dark mode or custom theming supported?

The email editor supports custom theming and colour schemes. The templates themselves use light, safe colours — that's what keeps rendering consistent across clients.

K4 The page won't load, or spins forever.

① Try the latest Chrome or Edge. ② Clear your browser cache, or use a private window. ③ Disable ad-blocking and privacy extensions and retry. ④ If it still won't load, submit the problem with a screenshot via Settings → Feedback.

K5 Is my work saved automatically? Will refreshing lose it?

Conversations and email content save to the cloud in real time, so you can refresh or sign in on another device and keep editing. For anything important, leave it in My Emails — it's easier to reuse and trace later.

L Payment & Orders

L1 Do credits expire?

Yes. Task and bonus credits last 7 days; plan credits follow the order's validity period. We email you before they expire — see B4.

L2 Can I upgrade or downgrade my plan?

Upgrades any time — move to a higher tier and you get the extra benefits right away.

Downgrading isn't advisable, since exceeding the new plan's caps restricts some functionality. If you do need to adjust, estimate your usage first or talk to support.

L3 Which currencies are supported?

Major currencies including USD, EUR, and GBP.

L4 How do I request a refund?

Refunds aren't available after a successful purchase — it's a digital product that takes effect immediately.

For exceptions such as duplicate charges or system errors, contact support within 7 days of purchase and include your evidence.

L5 Can I get an invoice?

Not at the moment. Every payment record can be downloaded as an electronic receipt from My Orders for your own records. For anything unusual, contact support.

L6 Is payment secure?

Payments run over encrypted channels with risk controls in place. Payment information is encrypted throughout and we store no sensitive card data.

L7 Where can I find my orders?

My Orders in the left menu — order numbers, amounts, payment status, purchase dates, and electronic receipts.

M Other

M1 How do I contact support?

Use Settings → Feedback. Screenshots and your account email help. We reply during business hours.

M2 Where can I see product updates?

Release notes are on the About Us page and in the Help Center. Features keep shipping during the rollout phase.

M3 I hit a bug during the rollout. What should I do?

Some features are still being polished at this stage. Report it through Feedback with the steps you took and a screenshot — those get prioritised.

M4 Who runs this service? Why should I trust it?

Operated by Kunshan Xingzhilian Network Technology Studio, founded in 2025 and focused on applied AI. EasyAImail has passed full functional testing and supports Chinese, English, and Spanish. See About Us and the User Service Agreement for details.

N Browser Extension, Credits, and Limits

N1 Does the daily extension insertion limit replace the monthly email limit?

No. Free accounts currently share an allowance of up to 30 emails per calendar month across the web app and extension. The extension also has a separate allowance of 2 free insertion per day. To place a generated email into Gmail or Outlook, you need available monthly email capacity, sufficient AI credits, and available daily insertion capacity.

N2 When does an extension feature use credits?

A new AI email summary currently uses 1 credits. A new draft review or selected-text revision currently uses 2 credits. Email generation and later conversational revisions use their own rates.

N3 Are cached or failed AI operations charged?

Cached summary or review results are not charged again. If AI processing fails before a valid result is produced, reserved credits are normally returned automatically. You can review the transaction in Credit History.

N4 Does undoing an insertion or deleting the email restore the daily allowance?

No. The allowance may be consumed when the server grants final insertion permission. Undoing the insertion, deleting the generated email, or reporting a browser-side failure does not automatically restore it. If a technical error repeatedly consumes the allowance without a usable result, contact service@easyaimail.com.

N5 Does the extension automatically read or send emails?

The extension locally detects the active email or draft on supported mailbox pages. After you open EasyAImail and use an AI feature, the content needed for that feature is sent to EasyAImail and relevant AI service providers. The extension does not send emails automatically. You decide whether to send the final draft from your mailbox.

N6 Do paid plans still use credits?

Yes. Paid members do not have the daily extension insertion limit during an active membership, but AI summaries, generation, revisions, and draft reviews continue to use the rates shown in the product unless a page expressly states that the operation is free.
